Procedure for Receipt, Handling and Tracking of Abuse Reports

This document outlines the procedure for the receipt, handling and tracking of abuse reports concerning domain names under the management of Vautron Rechenzentrum AG and in compliance with the 2013 ICANN Registrar Accreditation Agreement about generic domain names.

1. General notes for reporting abuse

Please always make sure to:

  • Include valid contact details (email address, telephone number)
  • Provide as much details as possible to ensure proper and quick handling
  • Use plain-text, PDF, PNG/JPG files to ensure all information is readable by us
  • Submit your reports in English or German only

2. How to report an abuse?

• Use the online form at vautron.de/abusecontact

Please provide the following details:

  • Your identity (firstname, lastname)
  • Your E-Mail address
  • Abuse topic
  • Domain name(s)
  • Details of complaint / abuse

• Write an abuse email to abuse@vautron.de. This email must include:

Please note: Emails sometimes can not be delivered due to technical reasons which are outside the scope of Vautron Rechenzentrum AG. We therefore recommend to use the online form for all abuse contacts!

3. How to report an abuse by law enforcement?

Law enforcment or governmental organizations can submit their abuse reports for illegal activity by one of the methods specified under 2). Additionally, they can also send a FAX to +49 (0) 941 59909-630.

4. How does Vautron Rechenzentrum AG process abuse reports?

  • We receive an abuse report from a valid, reliable source, and compliant with this procedure
  • The report will be reviewed by our abuse team
  • If the reported abuse falls out of our control and/or responsibility, the reporter is notified
  • If the reported abuse is valid, we will coordinate the issue resolution process with the Registered Name Holder (RNH) and/or our reseller
  • We will keep the reporter up to date until the issue has been resolved
  • If the issue can not be resolved by the mandated timeframe, we will take further action and follow up continuously with the RNH until resolution is met
  • We will coordinate with the registry if suspension or termination of the domain registration is needed
  • We keep incident reports for at least two years, pursuant to section 3.18.3 of the 2013 ICANN RAA

5. How does Vautron Rechenzentrum AG process Whois inaccuracy information reports?

  • Within 2 business days from the receipt of the abuse information, we start the investigation of the WHOIS data by sending an email to the RNH and to our reseller in copy
  • The RNH or our reseller is asked to provide all documentation to prove the accuracy of Whois data within 7 days
  • Failure to respond within the timeframe of 7 days will led to a failure of the resolution process
  • We will process all documentation received and will decide either to confirm the legacy of the documentation and the accuracy of the current Whois data or to confirm the inaccuracy of the current Whois data (in which case the domain name is suspended or deleted according to the registry policy). In both cases, the RNH and the reseller are notified.

6. How does Vautron Rechenzentrum AG process cybersquatting and Trademark infringements?

Within 2 business days from the receipt of the abuse information, we can forward by email your complaint to the Registered Name Holder (RNH) and/or to our reseller.

If you want to contact the RNH and the RNH is not subject to the "General Data Protection Regulation" (GDRP) law, we can provide you a (privacy redacted) email address of the RNH (which will be directly forwarded to the RNH).

In other cases, if the RNH is subject to the "General Data Protection Regulation" (GDRP) law, whose contact information is not disclosed in the Whois database, and not available through a registry process, you will have to send us a formal request. This letter must be sent in writing and be compliant with GDRP law.

Vautron Rechenzentrum AG (Registrar) is only a technical and administrative intermediary between the Registered Name Holder (RNH) and the corresponding Registry. As such, Vautron Rechenzentrum AG is not responsible for any trademark infringements caused by domain names under our management and registered by our clients.

Additionally, Vautron Rechenzentrum AG is not legally competent to carry out any measures such as suspension, deletion, revocation or transfer of ownership. These actions can only be carried out by following a court decision or any other dispute resolution procedure (like ICANN's Uniform Domain-Name DisputeResolution Policy, which can be found at www.icann.org/resources/pages/help/dndr/udrp-en).
